Terms & Conditions

RULES AND REGULATIONS FOR VENDORS 1. Management will not consider your application if not complete and accompanied by your fee. 2. Applications will be approved by the management of For The Culture Wine Expo. 3. Completed vendor applications and fees for VENDORS are due by September 1st. You must pay to reserve your booth.

Sponsorship Packages below. 

4. ALL vendors are responsible for sales and tax compliance. 5. Vendors MUST remain open during Expo hours. NO EXCEPTIONS. 6. Vendors MUST arrive during the time allotted for set-up. If you arrive after the designated time, we cannot guarantee you will be able to participate in the Expo and your fee will not be returned. 7. ALL VENDORS must check in with EVENT MANAGEMENT upon arriving at the event. Check in location will be forwarded to you in an email prior to the event. All set-up MUST be completed 1 hour prior to the event starting or space will be forfeited. 8. BREAKDOWN - begins once the event is over and MUST be completed within 1 1/2 hours in order to start cleaning. Failure to complete breakdown in a timely manner may result in a fine. Ending time/deadline to breakdown your booth will be provided at a later date. 9. Security will be provided at the event. However, the Expo committee and its organizers will not be responsible for injuries, losses or damage of any kind. 10. If a date change is required, you will be notified as soon as possible. 11. Staff MUST be scheduled for the entire Expo. 12. All tables MUST be skirted or draped. 13. The appearance of the vendor booths will be subject to the inspection of the Director of the Event and/or Event  Coordinator. For The Culture Wine Expo strongly suggests the use of festive decoration and may make suggestions for improvement. Our appearance to the City of Hampton and community impacts longevity of the Expo.

No Drink Products are to be sold to include water, carbonated beverages, or juices. Unless approved by event coordinator.

15. No products bearing the name "For The Culture Wine Expo" will be allowed to be sold other than by event producer without prior written permission from For The Culture Wine Expo..

 

Payment is agreement to the terms. Violation will be subject to a fine or removal and loss of payment.

 

 

 
Terms and Conditions Assignment of Exhibit Space:

Space will be assigned with due consideration to an Exhibitor’s preference based upon date of receipt of application & payment. Specific space locations and/or exhibitor request cannot be guaranteed. All requests for specific space and/or special requests are subject to review and approval by the Expo committee. Exhibitors may not permit other companies to use their space, or any part thereof, without express written permission of the Expo committee.

 

Booth Dimensions and Design: Booth size will be dependent upon your reservation selection. Vendors may purchase multiple spaces. Space reservations are for space only. Exhibitor is responsible for own signage. All exhibits must be freestanding. No bolts, screws, hooks, or nails shall be driven into buildings, walk-ways or floor. Exhibit space must be occupied throughout the entire duration of the event. Exhibitors may not permit other companies to use their space, or any part thereof, without express written permission of the Expo committee. Crafters/Artists Requirements: Please provide website or Facebook address where images and/or samples of your work can be viewed. You may also email images to info@fortheculturewineexpo.com. All work must be the original creation of the craftsperson. Kit assembled work and/or imported crafts are considered commercial. Application must be submitted by September 1, 2025.

 
Wineries and Distillery Vendors; for providing complimentary tastings we have a special Donation Sponsorship Package for you that will include your 10x20 booth and marketing. See below for details. 

Vendor Responsibilities: No alcoholic beverages other than those being represented by vendors are permitted at the Expo. Any item displaying profanity or discriminatory symbols, words, etc. is strictly prohibited. Vendor’s employees or contract associates of any kind participating in booth activities must have appropriate “ID” as evidence to show at entrance gates for admittance. Expo tickets, wristbands and/or glasses are not provided to vendors. Vendors are responsible for the collection Virginia State sales tax and maintenance of appropriate documentation for state inspection. Sidewalks and walkways MUST be kept clear. All exhibitor products and materials must be stored and maintained within booth space allotted. Large items, such as packaging and/or boxes must be broken down. The event is scheduled for 4 p.m. – 10 p.m. All vendors must staff the booth at all times during the Expo. Booths may be set up on Saturday morning beginning at 9am. Booth preparation must be completed by Saturday 3pm

 

Application will be reviewed for acceptance by Expo vendor committee and notified of acceptance. All fees must accompany the attached registration form. Checks should be made payable to Work of Art III LLC., 1115 Thisdell Lane. Newport News, Va. 23607. If you are not accepted, your deposit will be refunded. Subletting space to another vendor is prohibited. Vendors are expected to furnish their own, tables and chairs, display racks and any other items required for their display. The vendor participating is solely responsible for bringing any protective weather items. Each vendor is responsible for cleaning his or her own space during the event. All trash must be bagged and brought to the dumpster. A limited number of electrical hook-ups are available. Please indicate on your application if you need electric. Pets are not allowed on the Expo grounds. No alcoholic beverages other than those for exhibit use at the Expo are permitted. Any item displaying profanity or discriminatory symbols, words, etc. is strictly prohibited. Vendor’s employees or contract associates of any kind participating in booth activities must have appropriate “ID” to evidence same to show at entrance gates for admittance. Vendors are responsible for the collection of Virginia State sales tax, local meal tax and maintenance of appropriate documentation for state inspection. There will be no refunds given for spaces once you have been accepted as a participant in Expo. Returned NSF checks will acquire a $30.00 fee. Vendor Payments are available check & credit card.
